Event asset management · Multi-department & agency

An asset register that answers a disputed invoice, not just a lost-and-found list.

When a hire company's warehouse count is the only record of what came back, there's no argument to make. KitHolder gives the operations side of the business the same thing the finance side needs: a timestamped, named, exportable custody register — built for events running several departments, or several events a season.

The audit problem

A spreadsheet isn't evidence. A signed export is.

Most event operations have some form of asset list — but a shared spreadsheet updated by whoever remembered, at whatever time they remembered, doesn't hold up when a vendor's invoice lands after the event. KitHolder's register is append-only: every row has a person, a device and a timestamp, written at the moment of the scan, not reconstructed afterwards.

[01]

Append-only

Rows are written once, at the moment of the scan. Nothing is edited retroactively to fit a story.

[02]

Named + timestamped

Every movement carries the person, the time and the device that recorded it — not just a count.

[03]

Signed export

At the end of the event, the case produces the record: who had each item, when, and what came back.

[04]

Yours to keep

The export belongs to the organiser, not the vendor whose invoice it's checked against.

Built for scale, not just one desk

One register across departments. One register across seasons.

A single-site festival can run this from one desk. A multi-department operation — production, box office, compound, hospitality — can run the same register across several desks, each with its own handhelds, feeding one live board. Agencies running several events a year carry the same kit register, vendor list and crew list forward from event to event, instead of rebuilding it every time.

The maths

Calculate the loss bill you're currently absorbing.

Estimated loss bill: £2,514 per event.

The Station costs £795. One event pays for it three times over.

Loss figures from published UK hire terms and dealer RRP, August 2026. Estimate only.

Pricing

Scoped to the operation, not licensed per seat.
